User manual
How CertiONE works, at a glance
A flow diagram and visual cards — no 40-page manual — so the quality team knows what to do on each screen.
Start to finish
How a certificate flows through CertiONE
The same five steps, whether the certificate arrived by manual upload, a watched folder, or the customer's ERP API.
The certificate arrives
Manually uploaded in Upload certificate, dropped into the tenant's watched folder, or sent via the customer's ERP API.
AI reads and validates it
Extracts chemical composition and mechanical properties from the PDF. If the heat has an assigned spec/grade, it validates the values against that range.
It's linked to the genealogy
Heat → mother coil → coil → shipment → customer. From here it can be searched in either direction of the chain.
It's made available
The end customer downloads it by scanning their coil's QR code, and for an audit the full package is built in one click.
If something doesn't add upException
A value outside spec, or a low-confidence extraction, raises an alert and a non-conformance (CAPA) ticket instead of moving on.
Daily use
Day-to-day tasks
What the quality team does in the Portal, most of the time.
Upload a certificate
Upload certificate — for when it doesn't arrive by folder or API.
- Enter the heat number and mill
- Pick the spec/grade if the ERP didn't send one (optional)
- Attach the PDF and save
Search a heat or certificate
Genealogy for directed traceability, Search for free text.
- Genealogy: from a coil to its heat, or from a heat to its customers
- Search: heat number, mill, or a chemical element
Check the dashboard
Dashboard — refreshes on its own, no need to reload.
- % of certificates under manual review
- Open non-conformances
- Average heat → certificate time
Resolve a non-conformance
Alerts — full CAPA workflow with an audit trail.
- Investigate: pick a disposition (accept / rework / reject)
- Note the root cause and corrective action
- Close it — it lands in the audit history
Build an audit package
Audit package — a .zip with the original PDFs.
- Pick a date range and/or a customer
- Download the package, ready for the auditor
Tenant administrators only
Configuration
Set up once and it keeps running on its own.
Specs and grades catalog
Grades and specs — composition/property ranges per grade.
- Create the grade with its allowed ranges
- Assign it to a heat on upload, or via the ERP API
Mills and users
Mills / Users — your own catalog, no need to go through Quanter.
Encrypted automatic backup
Backup — a daily copy to a folder you control.
- Set a destination folder and a passphrase
- Runs on its own daily, or with "Back up now"
Automatic folder ingestion
Folder ingestion — simulates a mailbox.
- Set the watched folder
- Any PDF dropped there comes in on its own, no manual upload
Outside the Portal
What your end customer sees
No username or password: they scan the QR code on the coil's label and download their certificate instantly. Every coil also shows its shipments, with a button to download every certificate from that shipment in a single .zip.
